Prepare for your event

Decide how you are going to manage waiting lists and families or groups who have young people on the waiting list

Prepare for binding

Set up:

Charge tablets and scanners before the session


Have multiple scanning stations, plus a specific area for questions and issues.  This area should be equipped with a laptop and a leader logged in to the admin portal to deal with questions about young people not on the confirmed list, how the waiting list works, spelling mistakes etc.

Pickup codes

Scan the pickup code.  This is your opportunity to prompt parents to have easy access to their pickup code, and to check whether a young person should have or needs to have a pickup code.

Things to remind responsible grown ups:

Have your barcode ready when collecting your child.  It's much faster to scan the barcode against entering the pickup code or date of birth.  DOB especially should be seen as a last resort option.

Prepare for your first session

Check the admin portal to see how many young people have picked up their wristbands during binding.  This will help you plan for the first session and how many young people you should expect to turn up without a wristband


Have a dedicated person or team dealing with young people who don't have a wristband, questions or issues


Check that tablets are signed in to the app (not in offline mode or signed out)(See icons in top right hand corner)


Make sure that tablets and scanners are fully charged

During multi-day events

Use the device view to check on the battery status of individual devices.  Charge scanners and tablets overnight, especially scanners which operate best on a full battery.
